Privacy notice and consent

This privacy notice explains how, and seeks your consent to, the Premier’s Department’s (the Department) collection, use, storage and disclosure of personal information when you apply for a role in, and participate in assessment activities as part of, the NSW Government Graduate Program.


How we collect your information

The Department collects your application information through a third-party platform, Avature, used to receive and manage job applications (the recruitment platform).

We may also collect information during the recruitment process through communications with you, assessment activities and employment screening checks.

What information we collect

The Department collects the information you provide in your application form. This may include:

  • identifying and contact details
  • work history and qualifications
  • eligibility information and supporting documents, including:
    1. driver licence
    2. academic transcript
    3. visa information
  • any other information you choose to provide that is relevant to your application.

The application form includes a mix of mandatory and optional questions.

If you do not provide information requested in mandatory questions, we may not be able to fully assess your application. If you do not provide information requested in optional questions, your application can still be submitted, but it may limit our ability to consider relevant information.

We may also collect technical information about your use of the platform, such as your IP address, domain name and the date and time of your access.

We use a third-party provider, Hoban Recruitment, to design and run assessment activities (which may include online testing, video interviews, work sample activities, assessment centre activities). This provider may collect information from you on our behalf and generate assessment results and reports, which are provided to us for recruitment purposes.

As part of the recruitment process, we will use a third-party provider, Kinatico, to collect information from employment screening checks as required for the role. This may include:

  • eligibility and identity verification information (such as right to work in Australia)
  • qualification and employment history verification information
  • criminal record check information
  • other role-specific checks (such as a Working with children check, where applicable).

Incidental collection of health information

We do not actively seek to collect health information as part of the standard recruitment process. However, such information may be incidentally provided (for example, in identification documents or application responses). Where this occurs, we will handle the information in accordance with applicable privacy laws and this privacy notice and only use or disclose it where reasonably necessary for recruitment-related purposes as specified below. All references to personal information in this statement also apply to any health information supplied to us. Health information will be stored in Australia. It will only be disclosed to offshore entities where screening checks require this due to your personal circumstances.


How we use your information

We use your information to:

  • assess your application and eligibility for the NSW Government Graduate Program
  • communicate with you about your application and the recruitment process
  • arrange and conduct assessment activities and evaluate results
  • support merit-based selection decisions and recruitment administration
  • produce de-identified and aggregated reports and statistics about the program.

We collect and use this information to support our recruitment functions. 

We engage third-party service providers as set out above to support the administration of the recruitment process, including hosting and managing the recruitment platform, designing and administering assessment activities and conducting employment screening checks.

These providers handle personal information on behalf of the Department and in accordance with our instructions, for the purpose of performing these functions. They are contractually required to manage personal information in line with applicable privacy and security obligations and must not use the information for their own independent purposes.

Who we disclose your personal information to

We may disclose your personal information to NSW Government agencies participating in the Graduate Program, and other NSW Government agencies for the purpose of managing a graduate pool and considering you for employment and related recruitment and onboarding activities.

We may also disclose information about you where permitted or required by law.

Declaration and Consent
